Vowed Fitness LLC · New York, United States
Privacy contact: hello@vowed.fit
1. Who we are and what this notice covers
Vowed Fitness LLC (“Vowed,” “we,” “us” and “our”) is a New York limited liability company. This notice explains how we handle information from visitors to our website and people who enquire about coaching, including related enquiry-stage communications.
Where applicable data-protection law uses the term “controller,” Vowed is responsible for deciding why and how we use the personal information described here.
If you proceed to coaching, we will provide information about coaching-specific data practices before requesting health screening information, progress photographs or other additional coaching records. This website notice does not give blanket consent to sharing health information or using app integrations.
For privacy questions or requests, email hello@vowed.fit. Do not send passwords, full payment-card numbers or identity documents in your initial message.
2. Information you provide
Our application form asks for your first and last name, email address, city and country, preferred program and general goals. You may also provide a phone number, target date, information about who would train with you, additional comments and how you heard about Vowed. We also receive information you send us by email or during enquiry-stage conversations.
Required fields are marked on the form. You can choose not to submit it and email us instead. Without enough information to understand your enquiry, we may need to ask follow-up questions or be unable to assess it fully.
Please keep your initial enquiry general. Do not include medical records, detailed health information, progress photographs or payment-card details in the form. If more information is needed for coaching, we will explain what is needed and how it will be handled before requesting it.
For couples and groups, please describe the general arrangements rather than sending another person’s private information. If someone mentions you in an enquiry, we may receive your name or general information about your involvement. You may contact us to ask about it.
3. How we use enquiry information
We use enquiry information to respond, understand the coaching you are interested in, discuss suitability and availability, arrange a consultation and follow up on the next steps you request. Applications are reviewed by the Vowed team.
We also use information as needed to operate and protect the website, address errors or misuse, respond to privacy requests and meet applicable legal obligations.
At launch, we do not send email-marketing campaigns. Submitting an enquiry does not subscribe you to a marketing mailing list.
4. Who receives information
Application submissions are available to the Vowed team for review and follow-up. Webflow hosts the website, stores application submissions and notifies our team by email. Email services process those notifications and messages sent to and from our contact address. Providers that deliver fonts, software resources and security services receive the technical information described below.
For couples and groups, we do not share an individual’s health information, progress photographs or private messages with a partner, group member or coordinator without that individual’s explicit consent.
We may disclose information where required by law, or where legally permitted and necessary to address fraud, security incidents or legal claims. Any such disclosure must have a valid basis under applicable law.
5. Website technology
When your browser loads the website, its hosting and resource providers receive technical information such as your IP address, browser and device information, the requested resource and the time of the request. This supports page delivery, website functions and security.
The website uses Webflow hosting and content delivery, Google Fonts, and software resources delivered through unpkg and jsDelivr, including Lenis and GSAP. Loading an externally hosted resource makes a request to its provider.
Cloudflare Turnstile is used for form security. It processes technical browser and network signals to help distinguish people from automated traffic. Cloudflare also describes its use of those signals to improve bot detection in its Turnstile Privacy Addendum.
You can manage cookies and local storage through your browser settings and use its resource-blocking controls. Blocking website resources or security checks may prevent pages or forms from working. You can email hello@vowed.fit if the form is unavailable.
Provider information: Webflow’s Privacy Policy (https://webflow.com/legal/privacy), Google’s Privacy Policy (https://policies.google.com/privacy), jsDelivr’s Privacy Policy (https://www.jsdelivr.com/terms/privacy-policy), and Cloudflare’s Turnstile Privacy Addendum (https://www.cloudflare.com/turnstile-privacy-policy/). Provider notices explain their practices; they do not replace Vowed’s responsibilities.
6. Retention
If an enquiry does not become a client relationship, we delete our enquiry records 12 months after the last contact, unless a legal obligation requires longer retention.
If you become a client, we will explain the retention arrangements for client records separately. This 12-month enquiry policy does not set a retention period for coaching, health or payment records.
Website providers may also retain technical records for their own purposes as described in their privacy information. You may contact us to ask about the information connected with your enquiry or to request deletion sooner. Applicable law may require us to keep some information; where required, we will explain that when responding.
7. Legal grounds and international processing
Where applicable law requires a legal basis, we use information needed to respond to a coaching enquiry and arrange requested next steps to take steps at your request before entering a contract. We rely on our legitimate interests in answering other messages and operating and protecting our website where those interests are not overridden by your rights. We also process information where necessary to meet legal obligations. Where consent is required for a particular use, we will ask for it separately.
Vowed is based in the United States. Contacting us and using the website involves processing information in the United States, and our service providers may process information in other countries. Privacy laws can differ between countries. Contact hello@vowed.fit to ask about processing locations and any safeguards relevant to your information.
8. Your choices and rights
You may email hello@vowed.fit to ask about the information we hold about you, request access or a copy, correct it or request deletion. Depending on your location and applicable law, you may also have rights to restrict processing, receive a portable copy, withdraw consent, opt out of specified uses or appeal a decision about a privacy request.
Right to object: where applicable law provides this right, you may object to processing based on legitimate interests. You may also object to use of your information for direct marketing.
Withdrawing consent does not affect the lawfulness of processing before withdrawal. If a restriction affects our ability to respond to an enquiry or provide a requested service, we will explain the effect.
Tell us what you would like to do and how to contact you. We may need proportionate information to verify your identity or authority to act for someone else. We will handle requests under the law that applies and explain any applicable exception or appeal route where required.
You may complain to the relevant privacy regulator. In the UK, you can contact the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/. In the EEA, you may contact the supervisory authority where you live or work, or where the issue occurred. Other complaint rights depend on the law that applies.
9. Adults only and security concerns
Vowed coaching and the application form are intended for adults aged 18 or over. Please do not submit an application for someone under 18 or include their personal information in an enquiry. If you believe a child has sent us information that should not have been collected, contact hello@vowed.fit so we can review it and take the steps required by applicable law.
No internet transmission or storage system can be guaranteed completely secure. Contact hello@vowed.fit if you believe information connected with Vowed has been accessed or disclosed improperly.
10. Changes and contact
We may update this notice when our practices or relevant requirements change. The date at the top identifies the latest version. Where applicable law requires additional notice or a new choice before a change takes effect, we will provide it.
